We have utilized our HRIS to automate our Onboarding process. Previously, we were doing this process via a checklist and hard copy papers that were distributed and signed off on by new hires. A few years ago, we started utilizing our web-based HRIS to automate this process. This helped make the process more efficient and convenient for both new hires and our HR staff. The system allows us to: * Capture digital signatures (with date/time stamps and an audit trail) * Designate reviewers/signers for tasks * Create custom new hire packets for staff based off their roles * Collect documents electronically (via uploading functionality) * Stay in compliance with state & federal regulations as our system vendor automatically updates forms (e.g., i-9, Withholding forms, etc.) * Integrates our Onboarding module with our HR & Payroll module, so that new hires' information is automatically transferred to their electronic personnel files Overall, the system has helped us save both time and resources, while allowing for a better experience for all parties involved.
I love when I can find ways to eliminate, review and automate a HR process. So one process that comes top of mind is the workflow process for employee changes that occur in an employee lifestyle. First create the form and input all the necessary fields. Glean input from others of what's missing on the draft for. Keeping the form in an iteration process. Nothing has to be perfect just start. Continue to tweak and to redefine it. Now it's time to test a workflow process. If an employee had a status changed such as an increase then this should be justified. The Department Head will sign, hiring manager to sign and the employee. You can now create a solid workflow in the system since you have discovered a new process and now you can add the additional steps into your new HR system and tweak as appropriate. The key is to communicate the workflow and keep the communication coming so leaders are aligned to what's expected. Rinse and repeat.
