Setting realistic goals and expectations at the beginning of a project is crucial for successful client relations. I start by clearly distinguishing between goals—what we aim to accomplish—and expectations—how the process will unfold. It's important to communicate upfront that things may evolve, and every update, even if it's just to say there’s no significant change (it's what I like to call a "no update update"), is shared promptly. This approach ensures transparency and avoids surprises. Additionally, I involve all key stakeholders early on to build consensus, so all are aware of what’s achievable and how we plan to get there. Throughout the project, maintaining responsiveness and delivering on your word—truly doing what you say—is key to ensuring continuous alignment and building trust.
When starting a new project, I always kick things off with an open and honest conversation. I ask clients what their goals are and dig deeper to understand the “why” behind them. Then, I share what’s achievable within their budget and timeline, breaking down the steps we need to take. In one project, I had a client who wanted rapid results, but the market conditions weren't favorable. I explained the process clearly, including possible setbacks, and set smaller, milestone-based goals to keep us on track. By managing expectations upfront and providing regular updates, we kept the project realistic, and the client appreciated the transparency. It’s all about being clear, honest, and setting the stage for trust from day one.
At Ponce Tree Services, we believe that setting realistic goals starts with clear, honest communication from day one. We take the time to thoroughly assess the needs of the client and explain what is achievable within their budget and time frame. By providing a detailed project plan and being transparent about potential challenges, we build trust and set the stage for a successful partnership. Regular updates and check ins help us ensure that expectations remain aligned as the project progresses. This approach not only leads to satisfied clients but also fosters long term relationships.
When initiating a new assignment for the first time, my attitude towards the setting of realistic goals and expectations with the clients is to be frank and precise about the communication from the very start. The process begins with a discovery phase and I have all the reasons to know what the client wants, what the client’s goals are, and what limits may be present in their case, e.g., how much time or money they can spare for this project. After that, I conduct an open conversation with the client regarding the deliverables concerning the aforesaid framework. This would involve a gross appraisal of the project, what is to be delivered, when, and with what possibilities of risks. I always take the time to justify any set timeline in relation to the project deliverables to the client, especially considering the waste incurred through quicker timescales. To reinforce this, I set out every single point in the project plan or proposal written down in a way that there are specific deliverables with due dates and what is called working assumptions in them. This document is a supporting document during the course of the project, and it helps to control the expectations of the clients as well as elude uncontrolled increases in the project’s scope. People should not be upset due to a lack of appropriate project communication. It is established that and agree upon goals alongside milestones from the outset. Which instills confidence that the full consensus has been reached and augurs well for the execution of the project and improved client satisfaction.
