We're now able to integrate fundraising performance with programmatic outcomes--such as pounds of ocean plastic removed per donor dollar--giving us a more holistic view of our impact and increasing transparency for our supporters. Instead of creating an email with potential availability times and volleying back-and-forth, I can provide a link that is connected directly to my calendar and offers my comprehensive availability for virtual, in-person and one-on-one consultation meetings. It saves me so much time, reduces the need for administrative assistance, and makes it a harder for an external connection to say no to booking a meeting. All our staff now uses Calendly, and I can easily share their links with external partners if I need to outsource a meeting to one of them too!
One of the most important keys to success as a nonprofit Executive Director is keeping all employee and volunteer workflows running efficiently and effectively, and this stems from having excellent communication channels internally and externally. To this end, one of the most helpful pieces of technology has been using program management tools that integrate with Google tools, such as Teamwork which integrates with our Google calendar and Gmail accounts, providing a seamless way to keep all of our tasks in line AND well communicated with each other. With employees and volunteers all working remotely, it is easy for one/more of them to become disorganized and/or disconnected from the team, especially if they are not inclined to be good communicators or good organizers of their time. Using tools like program management systems that integrate with our shared calendar and email accounts allows our staff and volunteers to easily see what everyone else is working on, their schedules/availability, and where gaps may be that they can potentially fill. As far as how this has improved decision-making, this type of open communication allows for me, as Executive Director, to allocate other work to certain staff and/or volunteers based on how I assess their efficiency, workload, availability, and team attitude. This has also proven to be helpful in employee annual reviews and guiding staff to organize large, multi-year initiatives in a way that is strategic and helps them to stay on track/keep moving forward. In the end, it's all about communication.

From a financial perspective, Sage Intacct has been a staple of our monetary reporting and analytics. Its offers the unique balance of being robust but also user friendly. We enhance the tool by utilizing their budgeting module so that everything is aligned from budget vs actuals through every GL category. It works great with outside tools like Bill.com which we used to automate AR and AP. The real key is committing to a tool and the use of data. If there is not sustained commitment from the top, then people will go back to their old excel ways. If executive teams are not requesting and using data on a regular basis, then staff may not be as vigorous in collecting and recording the data needed to make important decisions.
