This is my second time managing a primarily or completely remote team, and this time I added a daily end-of-day stand up meeting. Also, I manage marketing, not an engineering team. But we still utilize am agile process with sprints. I've found the daily stand up meetings help ensure projects hit timelines with a daily check in and quick adjustments when things go off track. I also sometimes use them for reviewing progress or creative to get feedback, and even sometimes as teaching moments. Previously we did a weekly check in, but projects and timelines can get off track pretty far between meetings. Daily stand ups have been extremely valuable.

Employee productivity is enhanced when personal goals align with departmental goals. At my company, we use Peoplebox to measure employee productivity. Using this tool, we can set up personal goals for each employee and individual departmental goals. At the end of each quarter, the HR team analyses all the employee's productivity and tasks completed. This tool helps to measure each employee's achievements, bandwidth and productivity.
Weekly check-ins are a must when you’re in a hybrid space, but if you’re simply asking a yes-or-no question like, “Is everything alright?” you’re not going to get much out of the conversation. To check in with your team in a way that creates real value and improves productivity, you need to ask open-ended questions that encourage conversation. We always include the “Big 3” in our weekly one-on-ones with hybrid teammates: What obstacles do you foresee for the week? Which news, announcements, or assignments do you need clarity on? What can I do to help you work more effectively today? These questions are designed to make employees think critically about their days ahead and start a conversation. Even when an employee doesn’t give much of a verbal response, their body language and mood changes can offer insights. We use the Big 3 to keep check-ins to a manageable length, but we uncover current or potential future productivity issues proactively, not reactively.

It's simple, but setting up more screens in your conference or meeting spaces can help enhance productivity by making your hybrid setup more inclusive of remote workers. Picture it: a conference roundtable with employees at every seat, and a single laptop set up in one place with four team members in Zoom to join the meeting. They are all seeing the same people and the same perspective, and the in-person employees risk ignoring four employees if they aren't engaging with that single screen. I advise setting up an individual screen for each remote employee, and dispersing the screens throughout the conference table so they can engage and participate as if they were there. In person team members will have to refer to individual screens to reference those teammates, and it is more difficult to ignore than a single, congested screen full of people.
Managing distractions may be difficult for many employees returning to the office after such an extended amount of time working from home with few distractions. This can make work more stressful and decrease productivity. A great way to minimize distractions in the office is to set aside time that is specifically to be used to focus and/or dedicated to specific tasks such as replying to emails. This could also be a beneficial tactic while working from home as well, as you manage meetings and trying to lead a healthy work-life balance. A planner or some sort of time management software may be worth considering to structure your time accordingly to best set times dedicated to focusing without distractions.
One of the most common issues is making sure that all employees have access to information about the project. if you have employees working remotely and other working on-site then remote workers may find themselves left out of the information loop and missing key updates about projects or changes within their team. In order to overcome this, it is important to make sure everyone has access to the same information, you can do this to fix that: Establish rules against impromptu meetings at your office if key staff members aren't able to join remotely; Encourage asynchronous communication where team-mates talk without having an expectation of answering right away by using tools like Trello which allow you to keep notes files, etc. You can set up a Slack or Ringcentral group to maintain all of the communication within only one platform.

They’re used to office sitting; and this new hybrid culture might take some time to sit on the fence. Therefore, it makes sense to properly consult them and train them. Provide them with resources, training, tips, and technologies that can help them work efficiently in the hybrid system. For instance, the workstations in the office are usually high-end, but at home, not everyone can afford to have those super-efficient and expensive workstations. Or they might not have those necessary tools required to make the work-from-home more productive. You can either provide them with those or set such bonus programs that motivate them to work hard, and win those workstations as a reward.
Many employees don’t feel the need to have a proper in-home office space. Mainly because the equipment and tools are expensive. But a proper, distraction-free work environment with all the necessary hardware and digital tools is crucial for productivity. Therefore, it makes sense to create a separate budget and provide employees with proper work-from-home workstations. Many companies have already opted to do that, and they’ve seen productivity graphs skyrocket. If your start-up can’t afford that, the least you can do is to set up reward programs where the best performer of the month or year gets to have a full-blown work-from-home setup.
Keep flexible work hours. Remote work taught us that having autonomy over our schedule was actually incredibly beneficial for employees' work-life balance and productivity because employees could work when it best suited them. So, if you’re wanting to enhance employee productivity in your hybrid setup, you have to give your team autonomy over their schedule. For instance, if you demand employees resume their 9-5 hours when in the office, that means your telling them to rework their established schedule, and you’re ignoring the fact that they’ve been working remotely for 2 ½ years, so they are completely capable of working efficiently outside of these hours. If you want to enhance employee productivity in your hybrid setup, you have to allow flexible hours because your employees are perfectly capable of managing their time and their work - you just have to give them the space to do it.
