One breakthrough moment came when I realized my schedule was packed with smaller, less critical tasks, leaving me no time for strategic business planning. After reevaluating, I started blocking out specific time slots for high priority activities, like meeting with clients and growing the business, instead of just day to day operations. This shift allowed me to focus on the bigger picture and expand our services. I learned that a well organized schedule is not just about being busy but it is also about dedicating time to what truly drives progress. Since then, my future scheduling always includes time for long term goals and not just immediate tasks.
Evaluating my schedule led to a breakthrough when I realized I was overcommitting to too many tasks each day, which left me feeling constantly overwhelmed. After taking a hard look at how I was spending my time, I learned that I wasn't prioritizing the most important work. I started blocking out specific times for deep focus on key projects and limiting meetings to certain days. This shift in how I structured my time made a huge impact on both my productivity and well-being. I became more efficient and less stressed, and I now prioritize quality over quantity in my daily tasks. It taught me that a well-structured schedule, aligned with my priorities, creates more balance and better results.
I would continuously overplan until I started using visual time blocks on my Google Calendar. Instead of creating a list of to-dos for any given day, time blocks allowed me to see how much time I really had. They also made me become more realistic about needing breaks. Perhaps two tasks both take two hours, but you need some time in between them to make a cup of tea, grab a snack, move your body... I would also go back and adjust the length of a time block based on the time it had actually taken me to finish a task. This helped me estimate more accurately how much time the same or a similar task would take in the future. Lastly, working with visual time blocks made it easier for me to schedule in non-negotiables, such as my morning routine, my dance classes, and the weekly calls I do with my parents.
While reviewing my schedule, I noticed that my brain functions better at certain times of the day. This realization helped me adjust my schedule to focus on the hours when I'm most productive, which happens to be in the early morning. This shift has saved me time and significantly improved my productivity.
I really wanted to ensure I could give clients the best experience possible. This realization pushed me to start my day earlier so I could tackle essential business tasks before my first client arrived. It made such a difference-I could be fully present and focused during our time together, which really improved the overall experience.
Evaluating my schedule during a particularly busy period in my professional life at Software House led to a significant breakthrough. I was managing multiple projects simultaneously, which created a sense of overwhelm and led to declining productivity. I decided to take a step back and assess how I was allocating my time. Through this evaluation, I realized that I was spending too much time on low-priority tasks and not enough on high-impact activities, like strategic planning and team mentorship. This reflection prompted me to implement a time-blocking strategy, dedicating specific hours to focus on critical tasks and setting aside time for regular check-ins with my team. I also learned to prioritize my workload better, focusing on tasks that aligned with my long-term goals and the company's objectives. As a result, not only did my productivity improve, but I also felt more in control of my schedule. This experience taught me the value of intentional scheduling and led to a more balanced approach in managing my responsibilities. I continue to assess my schedule regularly, ensuring that it aligns with my priorities and supports my professional growth and personal well-being.
