Juggling priorities and setting realistic expectations of what’s possible each week is always a major challenge. Between email, meetings, and actual project work, everyone starts to feel overwhelmed and unfocused. One of the ways I help everyone stay on top of things and waste less time and energy jumping from task to task is by getting them to map out their ideal week at the beginning of each week. The ideal week is a mix of known commitments and todos. Every Monday, they time block when they can reasonably get certain tasks done based on the time available, the type of task, and the type of mental energy it requires. Then they do their best to protect that time! It's never perfect, but it helps set reasonable expectations for the week. It saves time by preventing task hopping, encouraging focus, and being thoughtful about when certain types of tasks are best done, given the week's commitments.
When outsourcing or using subcontractors, it’s important to document everything in a way that everyone is on the same page. I’ve seen a lot of small businesses fall short on this and it can lead to a lot of confusion and miscommunication, which takes up a lot of time and can be very frustrating. The way I’ve made this a lot easier is by creating a detailed document that outlines exactly what needs to be done, who is responsible for what, when things need to be completed, and any other relevant information. This document should be accessible to everyone involved so that they can easily refer to it if they have any questions or need clarification on anything. By taking the time to create this document up front, I’ve been able to save a lot of time by avoiding any confusion or miscommunication between myself or my team and the people we’re working with.
