The Brand Guidelines are essential. This document helps employees create on-brand, consistent messages about the company. These guidelines apply to internal and external communications. It’s a tool to maintain appropriate, relevant tones and visuals when sending company-related messages, and it helps the entire brand remain reliable.

The first document that new hires should familiarize themselves with is the company's mission statement. A document with a clear contract with the employees is extremely important. It should show what is their basic day to day responsibilities to follow and what is their salary. This should also include for much duration the contact is relevant and if they can get any additional benefits like incentives or anything. Because our company is fully remote, an organizational chart is an essential document for new hires. The org chart instantly communicates the scope of our organization and gives new hires the sense of being part of a team, even if they cannot see their teammates. It can often take longer to figure out who's who in a company in online offices. Charts help new hires get more immediately acquainted with the roles and responsibilities within the organization, and help new teammates know who to reach out to for help or cross-departmental collaboration without having to make their manager an in-between.

The W-4 for internal employees and the W-9 for contractors are essential documents to making sure the people working for us get paid properly. While there are several other new hire documents we consider to be important, if people are not paid correctly or in a timely manner, it sends a poor message about how we view their contributions and their intrinsic value as a person. Working relationships are a two-way street, so it is important for the employer to model professional behavior as a show of good faith in the work to be done. Whether short-term or long-term employment arrangements, treating people respectfully regarding their pay is the right thing to do.

It requires employers to verify that the new hire is eligible and legally authorized to work in the U.S. As an employer, it is up to you to verify that your hire can legally work based on their citizenship, visa, residence, and immigration status. If you don't, you could have severe fines and penalties. It is required that the document is completed and returned within three days of the employee's start date as long as the new hire has accepted the job offer.

Particularly for upper-level management, design, and research positions, a Job Description and Performance Plan document is most helpful, since employers are relying on a new hires creativity and experience to know how to best utilize his or her skills going forward. Ideally, you’d have a checklist for the tasks you’d like them to complete, but that’s not always possible when the new hire knows better than you what needs to be done. Instead, what’s most helpful is a general description of the goals, parameters, and expectations for the job, so that new hires are free to go about their work in the way they deem is best.
